How to use Gmail on Windows
Updated · Windows setup guide
You can use Gmail on a Windows PC in your browser, open it in its own window through Chrome or Edge, or use a Windows app such as EasyMail. You do not need to move your email to a new address to get started.
This guide covers those options, then shows how to set up EasyMail for Gmail, add more accounts, pin the app to your taskbar, open email links, and choose your notifications. EasyMail is an independent app from WunderApps, not a Google product. It displays Gmail's web interface inside a Windows app.
Choose your way to use Gmail
| If you want to… | Start with… |
|---|---|
| Read and send Gmail without installing another app | Gmail in your browser |
| Keep Gmail in a separate window with its own shortcut | Gmail installed as a site app through Chrome or Edge |
| Keep separate Gmail accounts together in one Windows app, with account switching and notification controls | EasyMail |
Open Gmail in your browser
- Open an up-to-date browser such as Chrome or Edge.
- Go to Gmail.
- Sign in with your Google Account and complete any verification Google requests.
That is enough to read and send mail. To add another Google Account in the browser, select your profile picture or initial, choose Add account, and sign in. Use the same menu to switch accounts. Google explains this in its multiple-account help.
Open Gmail in a separate browser app window
If you like Gmail as it is but want a separate window, Chrome and Edge can install a website as an app. You are still using Gmail on the web through that browser.
In Chrome
- Open Gmail in Chrome.
- Open the three-dot menu at the top right.
- Select Cast, save, and share → Install page as app….
- Follow the installation prompts.
Some sites also show an install icon in the address bar. See Google's web app instructions if your menu differs.
In Edge
- Open Gmail in Edge.
- Open Settings and more (the three-dot menu).
- Select More tools → Apps → Install this site as an app and follow the prompts.
To find the installed site later, enter edge://apps in Edge's address bar. Open the Gmail app card, or choose Details for options such as pinning it to the taskbar. Microsoft documents these options in its Edge app guide.
For one Gmail account and a separate window, either browser option may be all you need. Choose EasyMail if its account organization and Windows controls are useful to you.
Install EasyMail and add Gmail
You will need a Gmail account, an internet connection, and a compatible Windows PC. EasyMail's Store listing specifies Windows 10 build 19041 or later and at least 2 GB of RAM. Check the listing for the requirements and offer available on your device. The Windows settings paths below use Windows 11 labels.
- Open EasyMail in the Microsoft Store. The listing is named Easy Mail - Email & Messaging and more and identifies WunderApps GmbH as the developer. Use this listing to install the app.
- Open EasyMail. If no account is set up, begin adding an account. If you already use EasyMail, select Add account in the top toolbar.
- In Select a service, find Google and select its Add account action. Google is the service choice that includes Gmail.
- Sign in to the Google Account you want to use. Complete any verification shown by Google, then finish the account setup in EasyMail.
- Open Gmail for that account from EasyMail's account navigation. Your Gmail inbox appears in the app.
You are connecting access to your existing Gmail account, not creating a new email address. Your familiar Gmail interface remains the place where you read and write messages.
EasyMail has Free and Premium options. Check the plan details and the offer shown in the app before deciding which fits your account needs.
Add and switch between Gmail accounts
You can keep multiple Gmail accounts in EasyMail—for example, a personal account and a work account—and switch between them without signing out each time.
- Select Add account in EasyMail's toolbar.
- Choose Google → Add account again.
- Sign in to the additional Google Account and finish its setup.
- Select the account you want in EasyMail's account navigation, then open its Gmail service.
Repeat the account-add process for other accounts you want to use. Check the current plan's account allowance in the app; multiple-account support does not mean that every plan includes unlimited accounts.
EasyMail keeps the accounts' sign-in sessions separate. Their inboxes also remain separate: switching accounts does not combine their messages into one inbox. Before writing a message, check that you have selected the intended account.
Add Gmail access to your taskbar
Pin EasyMail to your Windows taskbar for quick access. You can also right-click its icon and choose a Gmail account from the Jump List.
- Open EasyMail so its icon appears on the Windows taskbar.
- Right-click the app's taskbar icon.
- Select Pin to taskbar.
Open a Gmail account from the Jump List
After adding your Gmail accounts to EasyMail:
- Right-click the EasyMail icon on the Windows taskbar.
- Under Accounts, choose the Gmail account you want. EasyMail opens with that account selected.
The entries use the account names you set in EasyMail.
For a Gmail site app installed through Chrome or Edge, open that app and pin its taskbar icon instead. In Edge, you can also go to edge://apps, choose the app's Details, and select Pin to taskbar. Microsoft's taskbar instructions explain the Windows pinning options.
If you prefer a keyboard shortcut for EasyMail, see the separate Alt+E shortcut guide.
Open email links in Gmail through EasyMail
An email address link on a website may use mailto: to ask your computer to open a new message. To send these links to Gmail through EasyMail, set EasyMail as the Windows handler for that link type.
- Add your Gmail account in EasyMail and make sure it is signed in.
- Open Windows Settings → Apps → Default apps.
- Search for the link type
MAILTOand open its current app association. - Choose EasyMail from the available apps and confirm the change if Windows asks.
- Open an email address link. If EasyMail asks which account to use, select the Gmail account you want. Check the sender and recipient in the new message before sending it.
You can close the message without sending anything if you are just checking the setup. Microsoft's default-app help explains how to change associations by link type.
This changes how Windows handles email links. It does not change your Gmail address or your default Google Account in a browser. A button inside another app may use that app's own email integration rather than a mailto: link.
Set up Gmail notifications in EasyMail
EasyMail can notify you about Gmail messages. Start with the app's global setting, then choose the settings for each Google account.
- Open EasyMail's settings using the gear in the top toolbar.
- Open Notifications and turn on Receive notifications.
- Open the settings for the Google account you want and turn on Receive notifications there too.
- In that account's Categories settings, choose which Gmail categories should contribute to notifications and badges. The available categories include Primary, Social, Promotions, Updates, and Forums.
- For activity indicators, turn on Badges in the Google account's settings. Its Badge type offers New messages and Unread messages. Then return to EasyMail's Notifications settings, turn on the global Badges switch, and choose where badges appear.
- In Windows 11, open Settings → System → Notifications. Allow notifications for EasyMail and review its banner and sound settings.
Notification banners and badges serve different purposes: a banner alerts you on screen, while a badge is an indicator on an app or account. Turning on one is not the same as configuring the other.
Windows can silence banners when Do not disturb is on. Check that setting if notifications are missing, and keep EasyMail running while checking delivery. Notification settings do not guarantee alerts while your PC is asleep or the app is fully shut down. Microsoft's notification guide explains Windows controls.
If you use Gmail directly in Chrome instead, Gmail has its own Desktop notifications setting under Settings → See all settings. Browser permissions also matter. See Google's Gmail notification help for that setup; those browser instructions are separate from EasyMail's account settings.
If something does not work
Gmail will not open or you cannot sign in
Try opening Gmail in your browser to see whether the same issue occurs there. If it does, start with Google's Gmail sign-in help. If Gmail works in the browser but not in EasyMail, contact EasyMail support with your app version and the error you see. Do not send your password or verification codes.
You are seeing the wrong inbox
Check the selected EasyMail account before composing. To keep another Gmail account as its own EasyMail entry, use EasyMail's Add account action rather than relying only on Google's profile menu inside an existing entry.
An email link still opens another app
Recheck the Windows MAILTO association and make sure your Gmail account is signed in to EasyMail. If the issue occurs only in one browser or app, note which one when contacting support; its email-link behavior may need separate attention.
You do not see a notification
Check the global and account notification switches, the selected Gmail categories, and Windows notification permissions. Also check Do not disturb. If the problem continues, note whether EasyMail was running and which account was affected so support can help narrow it down.
